The access route comes first
Describe the route from the unloading point to the operating area. Note narrow doors, steps, lifts, long carries, loading limits and parking restrictions. Ask the venue when the room can be accessed and whether another event or room changeover limits setup. Share the same details for collection.
Ask for the actual footprint
There is no universal space requirement for every photo booth. Ask for the chosen equipment’s footprint, including any backdrop, prop area, carpet, barriers, operator position and waiting guests. For the Magic Mirror, remember the included red carpet and red velvet rope barriers. Dimensions must be confirmed for the booking.
Look at the whole setup
Two real Mirror setups show why the equipment, barriers, props and approach belong in the same venue conversation.
Current Magic Mirror photos are paperless. These pictures show guest and setup ideas; backgrounds and equipment vary by booking.
Suitable electricity at the agreed position
The client arranges a suitable supply at the location and time agreed with the team. Equipment-specific requirements are confirmed before the event. If power is unavailable, discuss it in advance: an alternative power arrangement may be quoted separately and must be agreed in writing.
Working Wi-Fi where the booth operates
For the current paperless Mirror package, the connection needs to work at the operating location. Check coverage there and provide necessary login details. Tell the team about unavailable Wi-Fi, restricted networks or login pages before booking. Providing power does not provide internet access.
Garden parties, marquees and outdoor elements
Describe an outdoor or marquee location early. Ground, weather protection, power, connection and access all need discussion for the actual equipment. A marquee roof or nearby building is not, by itself, confirmation that the chosen setup is suitable. The team confirms the arrangement before booking.
A useful checklist for the venue
| Ask the venue | Record for the booking |
|---|---|
| Can equipment unload and reach the room? | Loading point, doors, steps, lift and any restrictions. |
| When is the position available? | Setup access, operating window and collection access. |
| Where will guests approach and leave? | Clear routes, queue area and neighbouring activities. |
| Are power and Wi-Fi available there? | Supply details, connection test and login process. |
| Does anyone need a different participation arrangement? | Discuss practical access or assistance needs with the team. |
Use the exact Peterborough postcode
Whether the event is in a central hotel, a Werrington hall, a Hampton function room or a surrounding village, the precise site instructions decide the access plan. Share the venue’s own instructions so the team can plan around the actual site.
